Privacy Policy

Orion Voyages (“Orion Voyages”, “we”, “us”) is a luxury and family travel advisor based in Fuquay-Varina, North Carolina, United States, offering an AI trip-planning concierge. We are an independent affiliate of A. S. A. P. Cruises Inc., our host agency.
This policy explains what information we collect through this website, how we use it, who we share it with and the choices you have. If you have any questions, see Contact us below.
1. Information we collect
Information you give us
- Contact details: your name, email address and, if you choose to share it, your phone number.
- Trip preferences: destinations, dates, who is traveling (including the ages of children, if you tell us), budget range, interests and any other details you share through our inquiry forms.
- AI concierge conversations: the messages you type into our AI concierge and the draft itineraries it produces.
Please don’t share sensitive information — such as passport numbers, payment card or bank details, government ID numbers or health information — through the website forms or the concierge. Your advisor will collect any booking details needed through a secure channel.
Email verification
Before you use the AI concierge — and features such as seeing trip price estimates, sharing or emailing your trip, or sending it to your advisor — we ask you to verify your email address. You can do this either by signing in with Google (through Google Identity Services), in which case Google shares your name, email address and verification status with us, or by entering a one-time code we email to you. We do not receive or store your Google password. Each time you verify, we add your name, email address, phone number (if you gave one) and how you verified to the Google Sheet we use to keep track of inquiries, so we know you have started planning with the concierge.
Information collected automatically
Like most websites, our servers record basic technical information such as your IP address, browser type and the pages you request, which we use to keep the site secure and working properly.
2. How we use your information
- To respond to your inquiry and plan, quote and book your travel.
- To generate draft itinerary suggestions through our AI concierge.
- To verify your email address and keep your session signed in.
- To protect the website from spam, abuse and automated bots.
- To understand how the website and the AI concierge are used, so we can improve them (see Website usage statistics).
- To comply with our legal obligations and resolve disputes.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
3. The AI concierge
Our AI concierge uses third-party AI providers — OpenAI and/or Anthropic — to write its replies and draft itineraries, pick up your trip details and suggest ideas for free days. What we send them is the conversation so far (your messages, the concierge’s earlier replies and its greeting, which welcomes you by name), the trip details gathered so far (such as destinations, dates, who is traveling including children’s ages, your budget, your US state for cruise fares, and the price estimates and cruise fares found for your trip) and our own instructions to the model. We do not send your email address or phone number to them, unless you type them into the chat. These providers process the content on our behalf under their business terms to return a response.
To build your trip as you chat, the concierge also extracts the trip details you mention (such as destination, dates, number of travelers and budget) and any cruise preferences (such as region, sailing months, length and cruise line, and the US state you live in, for resident cruise fares), and stores them with your conversation, together with the price estimates and cruise fares found for your trip. Concierge transcripts and these details are stored for up to 90 days so your advisor can follow up on your plans, and are then deleted. Our team may read these conversations during that time to help with your trip and to improve the concierge. AI-generated drafts are suggestions only; see our Terms of Use.
4. Trip price estimates
As your trip takes shape in the concierge and the “Your trip” panel, we look up price estimates automatically once your departure point, destination, dates and travelers are known, and when the concierge compares nearby airports or departure dates for you. These searches use only your trip details — where you fly from and to, the places you stay, dates, number of travelers, children’s ages, rooms, cabin class and, if you ask for one, an all-inclusive meal plan.
- These details (never your name, email or phone) are sent to our third-party travel data providers: Duffel and Travelpayouts/Aviasales (flight fares), LiteAPI by Nuitée (hotel rates) and Viator (experiences).
- Prices shown are estimates for planning and may change at any time; your advisor confirms final pricing.
- Links marked “View on Viator” are affiliate links, and we may earn a commission if you book through them.
5. Cruise links and fares
Our cruise search links, such as “Search live cruises”, open our host agency’s cruise booking site in a new tab. Each search link carries only your search choices — such as cruise region, sailing months, cruise length, cruise line and whether you want a family-friendly ship.
When your trip includes a cruise, the “Your cruise” card may also list matching sailings, each with a link to that sailing’s cabins and live prices. Because cruise fares depend on who sails and where they live, these links also carry the number of guests, the children’s ages (adults are given a standard age you can change there) and, if you told us, the US state you live in. Links on a shared trip page leave out the state.
Once we know who is sailing (one cabin of up to four guests, with every child’s age), our server automatically asks our cruise booking site for the current cabin fares of the sailings on the “Your cruise” card and of a sailing you choose, so the card and the concierge can show them before you book. That request carries the same details as a sailing link — the sailing, the number of guests, the children’s ages (adults at the standard age) and, if you told us, your US state — and nothing that identifies you: not your name, email address, phone number, IP address or conversation. We keep the fares we receive for a short time (about an hour) so we don’t ask again with every message. Fares are shown with the time they were checked, and a cabin you choose is added to your trip total while its fare is recent. Cruise fares change often, and the price on our cruise booking site when you book is the one that applies.
No cruise link includes your name, email address, phone number or your conversation with the concierge. That site is operated by our host agency, A. S. A. P. Cruises Inc., and its booking technology provider; its own terms and privacy policy apply to anything you do or enter there.
6. Travel insurance quotes
Our travel insurance page and the “Protect this trip” button on your trip show a quote form from Allianz Travel Insurance. The form is Allianz’s own page, embedded in ours: what you enter in it — such as your state of residence, trip cost, travelers’ ages or dates of birth, and travel dates — goes directly to Allianz, not to us, and we cannot fill it in or read it. The “Protect this trip” panel shows your trip’s dates, travelers and estimated cost beside the form for you to copy; we don’t send them anywhere. The form loads from Allianz’s servers only when you open the page or the panel, and those servers then receive your IP address and basic browser details and may set their own cookies; the form also uses Google reCAPTCHA to tell people from bots. Allianz’s own terms and privacy policy apply to quotes and to any policy you buy.
7. Sharing your trip
Once you’ve verified your email, you can create a link to a read-only view of your trip.
- What it shows: anyone with the link can view the trip — destinations, dates, the number and ages of travelers, the flights, hotels and experiences you selected, any cruise choices (with the matching cruise search link), prices and the day-by-day plan.
- What it leaves out: the shared page does not show your name, email address, phone number or your conversation with the concierge, and it isn’t indexed by search engines. The trip notes on the shared page are a copy made when you create the link, with your name and any contact details removed.
- How long it lasts: a link lasts as long as the verified session you created it from — up to 7 days — and stops working immediately when you stop sharing from the concierge or sign out (“Not you?”).
- What we store: only a one-way hash of each link. Links are deleted when they expire, when you stop sharing or when the conversation is deleted.
8. Emailing your trip
If you ask us to email your trip, we send a summary — the trip details, the day-by-day plan, your selections with estimated totals, a cruise search link if your trip includes a cruise, and your share link, if one is active — to the verified email address on your session only. We limit how many of these emails can be sent each day, and we use the address only to send what you asked for.
9. Trip proposals from your advisor
Your advisor may send you a private link to a trip proposal they prepared for you, where you can choose between the options they offer and ask to book.
- What it shows: anyone with the link can see the proposal: the name it was prepared for, the trip dates, the number and ages of travelers, the hotels, options and prices your advisor quoted, and the day-by-day plan. It isn’t indexed by search engines and isn’t listed anywhere on the site. Your email address is never shown on it.
- Requests to book: when you send a request, we store your choices, the total, and the name, email, phone number (if given) and note you enter, and email them to your advisor. If your advisor added your email address to the proposal, we also send a confirmation there. A request doesn’t book or charge anything.
- Views: we count how many times the page is opened and when it was last opened, so your advisor knows you’ve seen it. We don’t record who opened it.
- How long it lasts: the link works until a month after the trip ends, unless your advisor withdraws it sooner. We store only a one-way hash of the link.
10. How we share information
We share information only as needed to run our business and serve you:
- Within Orion Voyages: when you verify your email, your name, email address, phone number (if you gave one) and how you verified are recorded in a Google Sheet that we use to manage inquiries. When you submit an inquiry or ask to speak with your advisor, your details are also sent to our business email inbox and recorded in that sheet.
- Service providers: companies that help us operate the site: our website host (Hostinger), our email delivery provider (Resend), our business email provider (Microsoft 365), Google (Google sign-in, when we offer it, and Google Sheets), Cloudflare (Turnstile bot protection), our AI providers (OpenAI and/or Anthropic) and the travel data providers described above.
- Our host agency and travel suppliers: when you ask us to book, we share with our host agency, A. S. A. P. Cruises Inc., and with the hotel, cruise line, tour operator or other supplier the details they need to confirm your reservation. Their own privacy policies then apply.
- Legal reasons: when required by law or to protect our rights, our clients or the public.
11. Cookies
We use essential cookies only and no advertising or analytics tracking cookies. When you verify your email, we set a session cookie so the site remembers that you are a verified visitor. This cookie is necessary for the feature to work and is not used for advertising or cross-site tracking. Google sign-in and Cloudflare Turnstile may set their own cookies or similar technologies when those features load, to provide sign-in and to distinguish people from bots. Our host agency’s cruise booking site, which our cruise search links open in a new tab, sets its own cookies under its own policies. The trip map loads its map tiles from OpenStreetMap, the travel insurance quote form loads from Allianz (see Travel insurance quotes above), and some hotel, experience and airline images load directly from our travel data providers’ image servers, so those servers receive your IP address and basic browser details, as any website your browser contacts does.
12. Website usage statistics
We count how the website is used — which pages are opened, which site or campaign a visit came from, which kinds of links are clicked (for example our cruise search links, our phone number, or which other website a link leads to), the general type of device and browser, the country a visit comes from (a two-letter country code reported by our hosting provider’s network, never a more precise location) and how far visitors get with the AI concierge — using our own, cookie-free statistics. Nothing is stored on your device for this. To tell visits apart within a single day, our server combines your IP address and browser details with a random value that changes every day and is then deleted; the result is a one-way code. If you don’t use the AI concierge, this means the same person can’t be recognized from one day to the next. If you do, the concierge steps we count — such as verifying, starting a chat, sending messages, seeing price estimates, choosing options, sharing or emailing your trip, sending it to your advisor, reaching a usage limit or an AI error — are stored with that day’s code, and most of them with your conversation. This lets us see which pages, site, campaign, links and country led to a conversation that day, and the conversation carries the name and email address you verified with. We do not store IP addresses, full browser details, search terms, page addresses’ query strings, or the codes in shared trip and proposal links for statistics, and we don’t use them for advertising or share them. Visits from browsers that send a Do Not Track or Global Privacy Control signal are not counted. These statistics are kept for up to 13 months.
13. Bot protection
Our forms are protected by Cloudflare Turnstile, which evaluates signals from your browser to help confirm that a real person is submitting them. Cloudflare’s use of this information is governed by its own privacy policy.
14. How long we keep information
- AI concierge transcripts on our website: up to 90 days, then deleted. When you send a draft to your advisor, a copy of the draft and conversation is kept with your inquiry record (below).
- Shared trip links: until they expire (up to 7 days, with the session they were created from), you stop sharing, you sign out or the conversation is deleted.
- Trip proposals and requests to book made from them: deleted 90 days after the link stops working or is withdrawn. The request emails your advisor receives are kept with your client records (below).
- Inquiry and client records, including the Google Sheet entry made when you verify your email: for as long as needed to plan and support your travel and to meet legal, accounting and tax requirements.
- Session cookies: until they expire (7 days) or you sign out.
- Cookie-free usage statistics: up to 13 months.
15. Security
We use reasonable administrative, technical and physical safeguards to protect your information, including encrypted connections (HTTPS). No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
16. Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you, or to stop contacting you, by emailing info@orionvoyages.com. Depending on where you live, you may have additional rights under state privacy laws; we will respond to verifiable requests as required by applicable law. We will not discriminate against you for exercising your rights.
17. Children’s privacy
This website is intended for adults planning travel. We do not knowingly collect personal information directly from children under 13. Details about children who will travel (such as ages) are provided by a parent or guardian to plan the trip.
18. International visitors
We are based in the United States, and information you provide is processed in the United States and wherever our service providers operate.
19. Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date above. Significant changes will be highlighted on this page.
