Terms of Use

These Terms of Use (“terms”) govern your use of the Orion Voyages website, including our inquiry forms and our AI concierge. By using the site you agree to these terms and to our Privacy Policy. If you do not agree, please do not use the site.

1. Who we are

Orion Voyages (“Orion Voyages”, “we”, “us”) is a luxury and family travel advisor based in Fuquay-Varina, North Carolina, United States, offering an AI trip-planning concierge. We help you plan trips and, at your request, arrange bookings with third-party travel suppliers such as airlines, hotels, resorts, cruise lines and tour operators. We are not the provider of those travel services.

Orion Voyages is an independent affiliate of A. S. A. P. Cruises Inc., our host agency. Bookings are made through our host agency.

2. Eligibility

You must be at least 18 years old and able to enter into a binding agreement to use the AI concierge, submit an inquiry or make a booking. If you plan a trip for other people, such as your family, you confirm that you have their permission to share their details with us.

3. The AI concierge

What it is. The AI concierge is an automated AI assistant powered by third-party AI models from OpenAI and/or Anthropic. It works alongside a human travel advisor at Orion Voyages (“your advisor”): it helps you shape a trip, suggests destinations, stays and experiences, and builds that trip in the “Your trip” panel with price estimates as you plan. Your advisor reviews, verifies and books every trip you plan with them.

It can be wrong. AI-generated content may be inaccurate, incomplete or out of date — for example about destinations, properties, schedules, distances, opening times, entry requirements or prices. Please check anything important with your advisor and with official sources before you rely on it.

Using it responsibly. When you use the AI concierge, you agree:

• to use it only to plan travel and vacations — it will decline other topics;
• not to enter sensitive personal information, such as passport numbers, payment card or bank details, government ID numbers or health information — your advisor collects booking details through a secure channel;
• not to try to manipulate it — for example by attempting to override its instructions, extract its configuration or make it produce harmful, misleading or unrelated content;
• not to scrape it, access it through bots or other automated means, or resell or redistribute its output.

Fair-use limits. To keep the service fast and available for everyone, we apply fair-use limits, such as limits on how many messages, conversations, price searches and emails you can send, and overall daily caps. When a limit is reached, some features may pause until the next day. We may suspend or restrict access to the AI concierge, or change or withdraw it, at any time, including if we believe these terms have been breached.

4. Price estimates and availability

• Flight, hotel and experience prices shown in the “Your trip” panel come from third-party travel data providers and are estimates for planning only. They may change at any time, including between the moment they are shown and the moment your advisor checks them.
• Some prices may be sample or test data from a travel data provider; where a provider identifies a fare as a sample, we label it.
• Trip totals and the prices shown for each style are estimates. Taxes, fees, fare rules and inclusions are confirmed by your advisor.
• Once we know who is sailing (one cabin of up to four guests, with every child’s age), we may look up the current fares on our host agency’s cruise booking site for the sailings on the “Your cruise” card and for a sailing you choose. The card and the AI concierge show these fares with the time they were checked: the lowest average fare per guest for each cabin type or category, including taxes and fees, and the total for your cabin. The lowest rates can carry a non-refundable deposit. If you choose a cabin, its fare is added to your trip total while the check is recent (up to an hour); otherwise the trip total leaves the cruise fare out. Looking up a fare does not reserve or hold a cabin, and the fare on that site when you book is the one that applies. Our cruise search links, such as “Search live cruises”, open our host agency’s cruise booking site in a new tab. Sailings, fares and availability there come from the cruise lines through our host agency and can change until a booking is confirmed.
• Except for cruises you book yourself on our host agency’s cruise booking site, nothing is booked, held or guaranteed until your advisor confirms it in writing and you accept the supplier’s terms.

5. Sharing and emailing your trip

Share links. Once you have verified your email, you can create a link to a read-only view of your trip. Anyone with the link can view it, so share it only with people you trust. The shared page does not show your name, contact details or your conversation with the AI concierge. Links expire with the session you created them from (up to 7 days). You can stop sharing at any time, and signing out revokes your links.

Email my trip. “Email my trip” sends a summary of your trip only to the verified email address on your session, and a daily limit applies.

6. Affiliate links

Some experiences include “View on Viator” links. These are affiliate links: if you book through them, we may earn a commission at no extra cost to you. Bookings made on Viator are with Viator and the tour operator, under their terms.

7. Bookings and supplier terms

Bookings are made with third-party travel suppliers through A. S. A. P. Cruises Inc., our host agency. We are not the supplier of flights, accommodation, cruises, tours or other travel services, and each supplier is responsible for providing its own services.

• The supplier’s terms and conditions apply to your booking, including fare rules, payment schedules, deposits, cancellation and change fees, refunds and limits on liability. For bookings your advisor arranges, they share the key terms with you before you commit.
• The host agency’s terms of service ↗ (opens in a new tab) also apply to bookings made through it, together with any written agreement we give you for your booking.
• Cruises you book yourself on our host agency’s cruise booking site are booked through A. S. A. P. Cruises Inc. under those same terms of service and the cruise line’s terms; your advisor can review a sailing or cabin with you before you book.
• For bookings made through your advisor, prices and availability are confirmed only when your advisor confirms your booking in writing, after you have accepted the applicable terms and paid any required deposit.

8. Travel insurance

We strongly recommend comprehensive travel insurance for every trip, including coverage for cancellation, medical care and evacuation. Your advisor can explain your options, but the decision and the policy terms are yours. You can get a quote from Allianz Travel Insurance on our travel insurance page; policies bought there are issued under the insurer’s own terms.

9. Travel documents and health

You are responsible for making sure every traveler has a valid passport, any required visas, transit permits, vaccinations and health documents, and meets the entry requirements of each country visited or passed through. Requirements change, so check official government sources before you travel. We are not responsible if a traveler is refused boarding or entry because of missing or incorrect documents.

10. Communications

When you verify your email, submit an inquiry or send a trip to your advisor, you agree that we may contact you by email or phone about your inquiry and your travel. You can opt out of further contact at any time by replying to our email or writing to info@orionvoyages.com. We may still send messages needed to manage a booking you have made.

11. Accounts and verification

Some features require you to verify your email address, for example through Google sign-in or with a one-time code we email to you. Your verified session lasts up to 7 days, and you can sign out at any time. You are responsible for keeping access to your email account secure and for the accuracy of the details you give us.

12. Acceptable use

You agree not to:

• use the site for any unlawful, fraudulent or harmful purpose;
• attempt to bypass our bot protection, access controls, rate limits or fair-use caps;
• interfere with the site’s security or operation, or probe it for vulnerabilities;
• submit false information, or information about another person without their permission.

13. Intellectual property and your content

The site’s text, design, branding and software belong to Orion Voyages or our licensors. Photographs are used with permission or under the licenses listed on our Photo credits page. You may view and print pages for your personal, non-commercial trip planning.

You keep ownership of the messages and details you give us. You allow us to use them to provide the service — to run the AI concierge, plan and price your trip, and have your advisor follow up — as described in our Privacy Policy. You may use the AI concierge’s output for your own personal trip planning.

14. Third-party links and services

The site links to and relies on third-party websites and services, such as our AI providers, travel data providers, Viator, map tiles and our host agency’s cruise booking site. We are not responsible for their content, availability, policies or practices, and your use of them is subject to their own terms.

15. Disclaimers

The site and its content, including the AI concierge, its replies, trip drafts, price estimates and the cruise fares we look up, are provided “as is” and “as available”, without warranties of any kind, express or implied, to the fullest extent permitted by law. We do not guarantee that the site will be uninterrupted, secure or error-free, or that any content is accurate, complete or current.

16. Limitation of liability

To the fullest extent permitted by law, Orion Voyages is not liable for:

• indirect, incidental, special, consequential or punitive damages, or lost profits, data or enjoyment;
• the acts, omissions, defaults or insolvency of airlines, hotels, cruise lines, tour operators or other suppliers;
• errors or omissions in AI-generated content, price estimates or the cruise fares we look up, or changes to prices, fares or availability before a booking is confirmed;
• events outside our reasonable control, as described under Force majeure.

Nothing in these terms limits liability that cannot be limited under applicable law.

17. Indemnity

You agree to indemnify and hold harmless Orion Voyages and its owners and advisors from claims, losses and expenses (including reasonable legal fees) arising from your breach of these terms or your misuse of the site.

18. Force majeure

We are not responsible for any failure or delay caused by events beyond our reasonable control, such as severe weather, natural disasters, pandemics, war, terrorism, civil unrest, strikes, government action, or failures of suppliers, utilities or internet services.

19. Severability and entire agreement

If any part of these terms is found unenforceable, the rest remains in effect. These terms, together with our Privacy Policy and any written booking terms that apply to your booking, are the entire agreement between you and us about your use of the site. Our failure to enforce a provision is not a waiver of it.

20. Governing law and venue

These terms are governed by the laws of the State of Florida, United States, without regard to its conflict-of-laws rules, consistent with our host agency’s terms of service. Any dispute arising from these terms or your use of the site will be brought exclusively in the state courts located in Duval County, Florida, or the United States District Court for the Middle District of Florida, and you consent to the jurisdiction of those courts.

21. Changes to these terms

We may update these terms from time to time. The “Last updated” date above shows when they last changed. Continuing to use the site after an update means you accept the revised terms. Terms that applied when you made a booking continue to apply to that booking.
